This Privacy Policy explains what data VisaPilot collects, how we use it, and the choices you have. We built VisaPilot to handle sensitive travel and identity data with care — collecting the minimum we need and keeping you in control.
This document is a template provided for product development and should be reviewed by qualified legal counsel before relying on it in production.
01Data we collect
To compare visa routes and prepare applications, VisaPilot collects the information you choose to provide and a limited amount of technical data:
- Account data — name, email address, password, and account type (traveler or agency).
- Profile & travel data — passports, citizenships, residencies, travel history, and other details you add to your profile.
- Documents — files you upload to your document vault, such as passport scans or supporting documents.
- Usage data — device, browser, and interaction data collected through privacy-conscious analytics.
You decide how much profile data to provide. Some visa comparisons and checklists become more accurate the more complete your profile is.
02How we use your data
We use your data only to operate and improve the service:
- Compare visa options across your passports and residencies.
- Generate document checklists and prepare application packages.
- Send reminders for appointments, document expiry, and rule changes.
- Maintain security, prevent abuse, and meet legal obligations.
We do not sell your personal data. We do not use your documents to train third-party models.
04Storage & security
Documents are encrypted at rest and in transit. Access is governed by role-based controls and recorded in audit logs. For more detail on our safeguards, see the Security page.
We retain your data for as long as your account is active or as needed to provide the service. You can delete documents and your account at any time.
05Your rights & choices
Depending on your location, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can:
- Edit or remove profile data and documents from your account.
- Withdraw consent for document sharing at any time.
- Request account deletion, which removes associated data.
